What Happens During an iPilot Assessment

You've heard us talk about the iPilot Assessment. It's the starting point for every engagement. But what actually happens during one? Here's the full breakdown so you know exactly what you're signing up for.

01 The article

Before We Show Up

We send you a short intake form. Nothing complicated. Your business name, what you do, how many people are on your team, what tools you use (CRM, scheduling, phone system), and the one thing that frustrates you most about your daily operations. Takes about 10 minutes.

We review your answers, look at your website, and do our own research before we arrive. When we walk through your door, we already have context.

The On-Site Visit

The person who runs your Assessment is the same person who will lead your install if you move forward. Not a salesperson. Not a junior associate. The person who actually builds the systems.

We spend half a day at your office. Here's what happens:

We watch how your team works. Not in a creepy way. We sit with the person who answers the phone. We watch how estimates get written. We see what happens when a new lead comes in. We ask questions like "what happens after a job is finished?" and "how does a new client get onboarded?"

We map your workflows. Every business has 10-15 recurring workflows, whether they've documented them or not. Answering inquiries. Scheduling. Following up. Invoicing. Requesting reviews. Onboarding. We map the ones that eat the most time or lose the most money.

We identify the opportunities. Not every workflow should be automated. Some are too nuanced, too rare, or too relationship-dependent. We look for the ones where AI has the highest impact: high frequency, high cost of failure, low judgment required. Usually 3 to 7 per business.

What You Get

Within a few days of the visit, you receive a written report with:

A ranked list of AI opportunities for your specific business, ordered by impact and implementation effort. Not a generic template. Yours.

A 30-day action plan showing what we'd build first, second, and third, with expected timelines and what your team needs to prepare.

An honest recommendation. If we don't think AI will meaningfully improve your business, we'll tell you. We'd rather say "not yet" than sell you something that doesn't earn its keep.

What It Costs

The Assessment is a paid engagement, priced to be low-friction. It covers the on-site visit, the research, and the written deliverable. If you move forward with an install, the Assessment fee is applied toward the project cost.

What Happens Next

If the Assessment identifies strong opportunities and you want to move forward, we scope the install during a review call. You'll know exactly what's being built, how long it takes, and what it costs before any work begins.

If you decide not to move forward, you keep the Assessment report and the 30-day plan. No hard feelings. Many clients come back three or six months later when the timing is right.
